Quick heads up before we start. This podcast is produced by Petboost, an Australian pet business management platform. Everything we share is based on our experience working with over 100 Australian pet businesses. We're not financial, legal, or veterinary advisors. If you need specific advice for your situation, please talk to the right professional. Right, let's get into it.
Picture this. It's 7am. You're standing in the salon, coffee in hand, and your phone's already going. Text message... "Can I move Bella to Thursday?" Another one... "Is there a spot for my Cavoodle this arvo?" And then there's the one from last night at 11pm that just says "Hi, do you do big dogs?" And you haven't even turned the clippers on yet.
The clippers aren't even warm.
The clippers are cold, Pat. Cold clippers and a full inbox. That's how most pet business owners start their day. And honestly? That's what we want to talk about today. This is The Petboost Podcast. I'm Em.
And I'm Pat.
And before we go any further... this is our very first episode. So we should probably explain what this is. We both work with the Petboost team. We're not pretending to be independent journalists or anything like that. But the team has spent years working with pet business owners across Australia, and the stories that come through... they're all so similar. The same frustrations. The same late nights. The same feeling of "I didn't sign up for this part."
So this podcast is us talking about the real stuff. The stuff that happens between the grooms and the walks and the training sessions. The admin. The mess. The bits nobody warns you about when you decide to turn your love of animals into a business.
And hopefully, some ways to make it better.
So Pat, can I tell you about someone? The team spoke to a groomer in Sydney. Runs a premium salon, seven staff, turning over about half a million a year. Proper operation. And she said something that stuck with the team. She said, "We're a fast-paced, premium salon. We're always so busy and our team certainly work hard to maintain a high standard for our customers. Despite our efforts, so many annoying tasks and mistakes get in the way of us being the best we can be."
That last bit is the killer, isn't it? "Get in the way of us being the best we can be." She's not saying the business is failing. She's saying the business is succeeding in spite of all the noise around it.
Exactly. And then there's a vet the team spoke to. Sixteen staff, over a million in revenue. And she said, "I love being able to help people and our furry and feathered friends. It's why I chose this job. What I didn't know is that you have to set up and maintain so many processes, systems and data in the background. It's all so complex, expensive to set up and expensive to maintain."
Here's the thing. Nobody goes to vet school thinking, "I can't wait to learn about practice management software." Nobody does a Certificate III in dog grooming because they love spreadsheets. You get into this because you care about animals. Full stop.
And then one day you look up and you're spending more time on invoices than you are on actual dogs.
The team spoke to an ops manager at a dog training business. Seven staff, similar size. And he was so honest about it. He said, "We've built such a wonderful culture here. It's certainly paid off with us gaining and keeping customers. The thing is, our current setup to run things in the background just doesn't cut it. I don't know how long I can keep up doing the job of one and a half people."
One and a half people. That resonates so much. Because we hear this from business owners constantly. You're doing the work of about two people. There's "you the groomer" and then there's "you the admin person who works nights and weekends for free."
And that second Em doesn't get paid.
That second version of you absolutely does not get paid. You work Sunday nights doing invoices. You spend your lunch break chasing a client about a late payment. You're the one answering booking requests at 10pm because if you don't, that client might book somewhere else.
And that's not a failing on your part. That's just what happens when the tools you're using weren't really designed for a business like yours. Those generic booking systems, they're brilliant for hairdressers, physios, all sorts of industries. But they've got no concept of a pet. No vaccination tracking. No way to capture breed or coat type or anxiety triggers at the point of booking. So you end up filling in the gaps yourself, with notebooks and spreadsheets and WhatsApp messages.
We hear about the notebook all the time. A physical paper notebook. Client names and their dogs and what clip they liked and whether the dog was anxious or not. And if you lose that notebook, you're absolutely cooked.
That notebook is doing a lot of heavy lifting.
It really was.
So look, here's where the conversation usually turns when we talk to business owners. Because the thing is, it doesn't actually have to be like that. And I'm not saying that in a "buy our product" kind of way. I'm saying it because Petboost has now seen over a hundred Australian pet businesses go through this exact shift.
One of our customers, Liz, she runs a dog training business in Queensland. She said something that really captures it. She said she'd always had to use a "mish mash of a number of systems and trackers to book and collect money." And now she doesn't have to keep track of things across all these different platforms. She said it's simplified her life immensely.
And that's what it comes down to, really. It's not about having fancier technology. It's about having fewer things to keep track of. Fewer tabs open. Fewer notebooks. Fewer "I'll just remember that" moments that you definitely won't remember at 5pm on a Friday.
Another one of our customers, Annika, she runs a dog walking business in Sydney. And she said something that honestly captures it perfectly. She said, "The moment I turned Petboost on for my business, I never looked back. I no longer have to manually reconcile payments. Now I can finally get time to do other things in my business instead of sitting in front of a screen for admin days."
"Admin days." That phrase comes up constantly. Like it's just accepted that you need to sacrifice a day, sometimes two, just to keep the machine running.
And it shouldn't be that way. When your booking system actually understands that a client is bringing a dog, not just a person... when it knows the dog's breed, their size, their vaccination status, whether they need extra time because they're anxious... that changes everything. You're not ringing people back to ask questions. You're not scribbling in a notebook. The information is just there.
And the payment side is a big one too. One of our customers, Camille, she's a dog trainer in New South Wales. She said Petboost has been "a saving grace" and that one of the biggest time savers has been automated invoicing. She said, "I no longer have to chase clients for late payments or spend hours preparing invoices manually."
Chasing payments is the worst. It's the absolute worst. Because it's not just the time. It's the awkwardness. This is someone whose dog you see every week. You like them. Their dog likes you. And now you have to send a follow-up text going, "Hey, just a gentle reminder about that invoice..." It's horrible.
Yeah, look, and that's the thing people don't talk about enough. The emotional cost of running a pet business. It's not just hours. It's the mental load. It's lying in bed at night thinking, "Did I confirm that booking? Did that payment go through? Did I update the vaccination record?"
So the shift isn't really about software. It's about getting your headspace back.
Right. So let's make this practical. Because we always want to leave you with something you can actually do. If you're listening to this and thinking, "Yeah, that's me, that's my life..." here's what we'd say.
First thing. Sit down and write a list of every single admin task you do in a week. Everything. The booking confirmations you send manually. The invoices you create. The vaccination checks. The text message reminders. The payment follow-ups. All of it.
Don't judge it. Just write it all down. And then next to each one, ask yourself: "Does this actually need me? Or could a system handle this?"
You'll be surprised. Most of those tasks don't need a human brain. They need a system that understands your business.
Second thing. Look at your evenings and weekends. How many hours are you spending on admin outside of business hours? Just roughly. Be honest with yourself.
And then ask yourself... what would you do with that time if you had it back? Because that's the real question. It's not "how do I do admin faster?" It's "what am I missing out on because admin is eating my life?"
And the third thing, and yeah, this is where we'll mention Petboost because it's genuinely what we'd suggest... go to petboost.com.au and just have a look around. Read about how the booking system works. Look at the payments stuff. See how pet profiles work. You don't have to sign up. You don't have to talk to anyone. Just see what's possible when a system is actually built for a pet business, not adapted from something else.
And if what you see makes sense, there's a free trial. No pressure. No sales pitch. Just see if it fits.
So look, if there's one thing to take away from today, it's this. If you got into this industry because you love animals and you're now spending half your time on admin... that's not a you problem. That's a systems problem. And it's fixable.
You started this because you wanted to look after dogs. Or cats. Or birds. Or all of the above. And you deserve to spend your time doing exactly that.
That's it for episode one of The Petboost Podcast. We'll be back next time talking about the Sunday night invoice problem and what happens when payments just... handle themselves.
If you want to check us out, it's petboost.com.au. And if you liked this, tell a mate who runs a pet business. Chances are they're dealing with the exact same stuff.
Cheers, everyone.
See you next time.
