Pick which details an appointment card shows and in what order: pet photo, care flags, tags, add-ons, notes, package, membership, birthday, vaccination, service, team member, resource, time, breed, owner and more. Pet name and status always stay. One layout drives the calendar and Mission Control, with a live preview of each, and Reset to Default puts it back. Open Card content from the calendar or Mission Control display options.
When a booking has more than one service, Which times we suggest first decides what your booking page offers at the top. Tightest booking, the default, leads with the shortest overall visit, so a groom sits inside a daycare day. Soonest start leads with the earliest start. Every time stays bookable either way.
Filter a customer's, team member's or resource's appointments by Booked by: Pet owner or Business. Pet owners get the same filter on their own appointments.
Change Times customers see on a service, then select Update those bookings to apply it to upcoming bookings already in the diary. Tick Include recurring series to cover repeat bookings, and choose whether each customer gets an updated confirmation.
Up next moves to the next dog the moment you mark one picked up, works through a whole group, then switches to the drop-offs. Drop-offs start as the reverse of your pick-ups, last collected first home, and Magic Optimise on the return run starts from the park. Trips can also text customers as you go: on our way to collect, and dropped off safely, each switched on per service and off until you turn it on. Write the sentence yourself if ours does not sound like you.
Stops that share a booked start and end, or match a named session such as Morning Group, show as one walk with its own stop numbers. Group the list by team member, resource or suburb, then by Session or Start time. Set a park after each group and Magic Optimise plans the route through it. Choose One run under Walks to see every stop as one list.
Undo Check Out on a Ready to Pay appointment returns it to the status it held before check out. It sits on the appointment, the Scheduler right-click menu and the Mission Control card.
In the availability checker, a blocked team member or room names the booking in the way, with its time and any padding, and says when the next start is free, including when a shift ends. Pet owners never see these names.
After you complete a visit, if the pet already has another booking, the follow-up prompt says their next visit is booked, gives the date, and opens it with View booking.
Magic Optimise keeps each stop with an exact booked time where it is and reorders only the stops with a window. Stops booked for the same time, like four pick-ups at 8:00, go in drive order among themselves. Trips opens on Up next, with the stop to head to, when you will get there and the button to mark it picked up. On a day with more than one driver, Magic Optimise and the Google Maps button ask whose run to plan instead of greying out. Trips also asks once how long you spend at each stop, and warns when you would reach a stop early as well as late. Planning a run never messages your customers.
On the booking calendar a day with few slots left is dark orange, and a day with none is red.
Website embed sits in the Settings header beside the website button tools. Open it to copy the snippet that puts your booking form on your own site.
Trips turns a day of mobile appointments into a sequenced run: Board, List and Map views, Magic Optimise for up to 25 stops, route preferences for your van's height, width and weight, arrival times from live traffic, a Google Maps hand-off, and an ATO vehicle log book as CSV or PDF. The run order, your route preferences and your depot addresses now live on your account, so a run sequenced at the office reaches the driver's phone. Trips Booster is a paid add-on on Pro, Flex and Max, included on Enterprise.
The last visit and next visit on the appointment ribbon are links. Click either one to open that appointment and the charges on it.
Building a membership plan, the Pets & Households step comes after Benefits and asks one question with three answers: One price for all their pets, Extra pets cost more, or Only for households with 2+ pets. Building a group of plans, What do the plans vary by? sets up a household ladder that scales from the one-dog plan.
Select Reactivate on a cancelled member to start them again on the same plan. With no card on file, Text them to add a card sends the owner a link. Each row on the members list shows Card On File, Card Expiring Soon or No Card On File.
Void a completed cash, bank transfer or EFTPOS quick sale with Void Sale on the customer's Sales tab or in the transaction summary on Reporting. The sale comes out of sales history and your reporting totals.
Open a booking with a card hold and select Release hold on the pre-authorisation alert. Confirm on Release pre-authorisation?, or choose Keep hold to leave it in place.
On a recurring series, an extra included in a membership is redeemed on each visit that still has allowance, and the other visits pay the usual price. A prepaid series does not redeem member extras.
Pick a future billing day and Schedule pause books the pause to start then. The member shows Pause scheduled until it begins, and Cancel scheduled pause takes it off. Your team can pause past the plan limit after a warning; a member pausing their own membership stays within it.
Enrol someone with a future start date and book their visits on or after that date at the member price straight away. Visits before the start date stay at the standard price.
Set minimum pets on a membership plan or a package and only owners with that many active pets can join or buy it. Price a two-dog tier beside your single-pet one, and Make the 2-dog version clones a plan or package with the caps, quantity and price scaled for you. An owner under the size sees why on the plan, and staff see the same reason when they enrol someone. Balances and allowances stay shared across the household.
A pause runs in whole billing cycles. Max days per pause on the plan sets the longest pause and can be no shorter than one cycle, and the terms you generate say one full cycle is the minimum.
When staff create a booking that needs a deposit, pick how it is taken. Card on file is the default, and cash, bank transfer, card reader, a secure payment link, other EFTPOS and a card request by text all sit beside it. A pending booking confirms when the invoice comes to zero or when you waive the hold.
Paid invoices download as a PDF from the owner profile in the business app and from the pet owner wallet. Open the profile, then Download invoices.
Clients can attach a PDF to the notes on their online booking, and you can attach a PDF alongside photos on a pet grooming preference.
A pet's and owner's filled custom fields show on the appointment as Pet details and Owner details, and in the Mission Control quick menu. Show empty fields lists the ones still blank.
Open Sort & Group on Customers & Pets to group the list by Owner, Animal type, Membership or Card on file, then sort by Pet name, Date added, Last updated, Next appointment, Total spend or Average spend / month.
Vaccination expiry texts and emails carry a link that opens the owner's vaccination upload. Quick Export: Vaccinations on Customers & Pets downloads every certificate with its dates and a Status column. Turn on Ask for missing certificate dates to ask once when a certificate has no dates.
Abandoned bookings, unfinished bookings, draft reviews and the Health Board carry a New client or Existing client badge, so you can see who you are chasing without opening the record.
A pet owner can mark their own pet as passed away from the pet owner app. Petboost keeps the date, takes the pet out of booking, holds the phone number, and leaves the record there to restore.
Save a change to an owner address and Petboost offers to put it on their upcoming mobile appointments. Show upcoming visits lists them, and Update writes the new address across the lot.
When to collect on a form has a third option, Send manually. Nothing goes out when a booking is made. Use Send from the client profile when you want that person to get the form. Send after booking and Required before booking stay as they were.
When you save a number another owner already has, Find them and Open profile take you to that profile. Search also matches the secondary phone.
Set your booking page title and description under Your Booking Page, Advanced options. The title is the link in Google results, on the browser tab and in shared links, and the description is the line underneath. A search result preview shows how it will read as you type. Leave either blank and Petboost writes it from your main service category, suburb and business name.
Add a File Upload field to any form and your clients can attach a photo or a document when they fill it in, for example a vaccination certificate or a picture of the coat. The response shows the attachment as a named link that opens the file.
When a member picks a date their membership does not cover, the booking form says so, shows what that date costs, and offers Move to the first covered day or Keep this date. Pack credit and membership allowance show as separate balances.
Drag global and custom service categories into one order under Service Categories. The first global category leads your booking page title and link preview.
Your booking page carries a Most booked carousel of your busiest services, sitting above the category tabs. Turn it on or off under Services on Settings, Your Booking Page, and the same switch sits in the visual editor.
Owners can save the visit photos from the report card. Save sits on the gallery. On a phone it opens the share sheet. On a computer it downloads a zip. If a file cannot be fetched, the toast says how many saved.
Turn this visit's report-card photos into a branded Instagram image with the pet's name on the tile. Open the appointment, tap Visit post, pick the photos, turn on We have permission to share this pet, then Download PNG or Save all. Copy caption pastes the booking page and your business phone under the post. Petboost does not post it for you.
Quick Estimate is the weight range buttons above the services on your listing page. Find it under Services on Settings, Your Booking Page and hide it on its own. The Services section stays where it is.
Write a service's on our way and dropped off texts with the tag chips from Bulk send. Pick Pet Name, is / are or Team Member Name and each customer's text fills in for them.
A message you or a team member types in a conversation carries the sender name on the bubble, in the same style as the label on automated texts, so everyone on the team can see who replied.
Your day's run sheet lands in your business inbox at 6:30am local time, with every active appointment. A one-line text is optional and off by default. Email is on unless you switch it off in Settings, Notifications. Nothing is sent on a day with no bookings.
Text an owner when their pet is due back, worked out from that pet's own visit history or after a set number of weeks. Write the message, override it per service, and a pet is never messaged twice inside 30 days. Rebooking Reminders is off until you turn it on in Settings, Notifications, needs a dedicated number, and each text uses an SMS credit.
The Pre-Appointment Message can sit on confirmation and reminder texts as well as email. Open Settings, Notifications, write the note, and turn on Also add to confirmation and reminder texts. The switch stays off until you turn it on.
A yes to a confirmation request marks the thread read. A cancellation reply stars it. Hide automated keeps system texts out of the open conversation, and a draft stays on that thread if you leave and come back.
Extended Stay Discounts work on Stays priced by Number of nights or Number of days, not only Duration-based. The tier a stay reaches prices every night or day of it, so a 14 to 55 days tier at $81 prices a 19-day stay at $81 a day. Switching the pricing mode keeps your tiers, and the booking form, the stay timeline and the invoice all price them the same way.
Under Add-on Pairing, turn on Only Show With Certain Services and pick the services the add-on belongs with. On your booking page it appears once one of those services is chosen for that pet. Your team sees every add-on, and an add-on with no pairing shows with any service.
The services bulk edit grid has a toolbar. Build filter conditions joined by and or or, group the rows by a field, sort on any field, and tick which columns to show. The view you leave it in is the view you come back to on that device.
Price an add-on at zero and it shows on the booking form marked Free, with its usual price struck through beside it, so the customer sees what it is worth. The customer taps to add it.
Reporting shows the share of appointments that carry an extra, which extras sold and what they earned. Add-on attach by service breaks it down by the service each extra sat beside, and the appointments deep dive filters by add-on.
Watch the recording of a booking a pet owner started and left. Open Billing, Plan & Power-Ups, activate Booking X-Ray Booster, then tap X-Ray this booking on the Abandoned Booking card. Fifteen views a month, A$19.
The Health Board puts abandoned bookings in Abandoned (New) and Abandoned (Existing), so a first-time drop-off and a returning client who left sit in different columns. Open Marketing, Health Board.
Type in Find a setting at the top of Settings to go straight to the right card, for example opening hours. Under a switch, the badge now says how many services use their own setting and will not follow your change, and the message after you publish says how many kept it. Notifications names the three things that can override its switches. On Your Booking Page, the Show switches, Most booked included, sit above Advanced options.
During a trial the top banner shows Pro, Flex and Max side by side with Choose on each. After the trial it offers Continue with Pro or Choose a plan. Paying subscribers never see it.
Every configuration screen is split in two. What a business needs to sell the thing is on screen when you arrive; the rest sits behind one Advanced options switch with a line telling you exactly what is inside, so you can decide not to open it. Duration and Timing went from twelve visible fields to two. Advanced does not mean big: a solo walker taking two siblings from one household, a single-groomer salon refusing dogs over 20kg after midday, and a mobile walker limited to certain breeds and suburbs all live down there. The switch remembers your choice, shows a count of what you have set, and opens itself whenever you have already configured something inside, so nothing you set is ever hidden from you. Turning it off only hides fields, it never changes them. Your bank details, holiday rates and booking warnings stay visible.
A quick sale or a package purchase that is waiting on payment appears in Needs attention on Mission Control, with the amount and the day you requested it. Resend the link, copy it, mark it as paid or cancel it from the card.
Mission Control carries a Collected and Earned switch. Collected puts a payment on the day it was taken. Earned spreads a booking over the units it covers, so a five night stay lands a fifth on each night. The choice follows you around the dashboard and stays on that device.
